MINUTES OF BOARD MEETING – December 8, 2025

348 PINE RIVER RANCH CIRCLE, BAYFIELD, CO 81122

1)  The Meeting was called to order at 5:37PM.

Board Members Present: Dave Adkins, Dan Holloway, Alisha Luman, & Megan Connolly

Guests: None.

2) Minutes

Draft minutes from 11/18/25 board meeting distributed to board members prior to the meeting. Megan had a few clarifying questions and finalized the minutes with the help of the board members present. Dan motioned for minutes to be approved. Dave seconded. There was no further discussion. The motion was approved by a vote of 4 in favor, none opposed, and none abstaining.

3) Treasurer’s Report

Dan reviewed the current status of accounts and noted that $23.99 was paid from the general account for the PRRLOA website and $700 for hazard tree removal. Dan noted that there are no outstanding invoices to be paid, but that the Lee’s still owe $480 for the repair of damage to community property caused by their son’s car accident.

Dave motioned to approve treasurer’s report, Alisha seconded. There was no further discussion. The motion was approved by a vote of 4 in favor, none opposed, and none abstaining.

3) Committee Reports

• Design Committee: No members present. Dave indicated that we need to confirm membership. Megan will include a call for members in next email to PRRLOA members.
• Common Space Management Committee: No members present.
• Short-term rental Committee: No members present.
• Creation of a fishing subcommittee: No members present. Dave LaMaster, Susan Wells, Christian Rhodes, & Millard Jacobson have volunteered for this committee.

4) Old Business

• AED update: 1^st box up at Alisha’s 612 Ludwig, 2^nd box to be installed box at 517 PRRC this weekend; Alisha will make a map of locations and send to Megan to email and post to website and at mailboxes. Alisha will get AED & sign from Dan.
• Clearnetworx fiber installation-work almost complete. Megan will resend information about how to sign up for service.
• Megan concurred with Dan’s suggestion that we consider buying additional parcel boxes and USPS has been unable to deliver many packages during the holiday rush. Megan to send a friendly reminder to check mail daily if expecting packages. Board plans to talk to USPS and get a quote for additional parcel boxes.

5) New Business

• Alisha said owner of Lot # S2 59 asked her if the lip of drain in swamp on corner of Ludwig & PRRC could somehow be lowered so that more water would drain from that area. Board decided that it could have unintended consequences and that homeowners are responsible for clearing the culverts on their property to prevent flooding.
• Megan will begin working on Beaver-infrastructure grants & support.
• Thank you to Alisha, Jude, Susan & Dave for decorating the bridge for the winter.
• Megan made request to consider updating website to a more user-friendly platform. Board discussed that if website is updated, we could add a feature so that members can make payments online.

7) Next Board meeting is scheduled for Tuesday, January 13, 2026 at 5:30PM and will be held at 348 Pine River Ranch Circle.

8) Megan moved to adjourn the meeting. Alisha seconded. Meeting adjourned at 6:29PM. There was no additional discussion, and the motion was approved by a vote of 4 in favor, none opposed or abstaining.
